Privacy Policy

1. About This Policy and Who We Are

Elite Global Concierge LLC takes your privacy seriously. This policy explains who we are, what personal information we collect when you use our website or engage our services, why we collect it, how we use and protect it, and the choices you have.

Please read this policy before you submit any information to us. By using our website or enquiring about our services, you acknowledge that you have read and understood it.

If you have a concern about our privacy practices that we have not resolved, you may contact the Florida Department of Agriculture and Consumer Services, Division of Consumer Services at 1-800-HELP-FLA (1-800-435-7352) or www.FloridaConsumerHelp.com.

Updates to this policy

We review this policy periodically and post the current version here with its effective date. Continued use of our website or services after we post a change means you accept the updated policy. If we make a material change that affects how we use your personal information, we will notify you by email where we hold your address.

2. Information We Collect

We collect personal information in three ways: directly from you, automatically as you use our website, and occasionally from third parties.

Information you give us directly

When you make an enquiry, request a proposal, book a trip, subscribe to our newsletter, fill in a form or contact us, you may provide:

  • Identity information — full name, date of birth, title, passport details and nationality
  • Contact information — email address, phone number and mailing address
  • Travel party information — names and dates of birth of other travelers in your group, including children
  • Payment information — credit or debit card details and billing address (processed securely by our payment processor; we do not store full card numbers on our systems)
  • Trip preferences and special requirements — destination interests, accommodation style, dietary needs, medical conditions or mobility considerations that may affect your travel arrangements
  • Communications — records of emails, phone calls and messages between you and our team

When you share details about other travelers in your group, you confirm that those individuals know their information is being passed to us and understand how we will use it.

Sensitive information

When you share health, medical or dietary information with us, we use it only to arrange your travel safely and to brief the suppliers who need to know. The same applies to any religious or other beliefs you share when planning faith-related travel. We do not use this information for any other purpose.

Information collected automatically

When you visit our website, standard web technologies collect:

  • Technical data — your IP address, browser type and version, device type, operating system, time zone and pages visited
  • Usage data — how you navigate our site, which pages you view, links you click and time spent on each page

This data helps us keep the site running, understand how visitors use it and improve their experience. Please see Section 5 for more on cookies.

Information from third parties

We may receive information about you from analytics providers (such as Google Analytics), advertising platforms, email marketing services and, where you connect with us through social media, the platforms you use. We use this data to understand our audience and to improve our marketing.

3. How We Use Your Information

We use your personal information only for the purposes described below. We do not sell your information to anyone.

Planning and booking your trip

When you enquire about a trip, we use your information to prepare your itinerary, quote a price, correspond with you and, once you book, to confirm and manage all the services in your itinerary. This includes sharing the details that each hotel, airline, guide, driver, activity provider and other supplier needs to fulfill their part of your trip.

Payments and account management

We use payment and billing information to process deposits and balances, issue invoices and, where necessary, recover amounts owed.

Communications and service updates

We use your contact details to send you your itinerary documents, booking confirmations, pre-departure information, updates about your trip and replies to your questions. We also use them to notify you of any changes to our Booking Terms and Conditions or this Privacy Policy.

Marketing and newsletters

With your consent, or where you have previously booked with us or enquired about our services, we may send you inspiration, destination updates, special offers and news from Elite Global Concierge. You can opt out at any time by clicking the unsubscribe link in any email we send or by writing to us at the privacy contact address in Section 1. Opting out of marketing does not affect our ability to contact you about a current booking.

Website performance and analytics

We use technical and usage data to monitor site performance, fix errors, understand how visitors navigate our pages and improve the content and functionality of our site.

Legal and regulatory obligations

We may use or disclose your information where required to do so by law, a court order, a government authority or a regulator, including our obligations as a Florida Seller of Travel.

Lawful basis

We process your information because it is necessary to perform the travel services you have requested, because we have a legitimate interest in running and improving our business, because you have given your consent (for marketing and for sensitive information), or because the law requires it. We do not rely on consent for ordinary booking-related information — if you do not provide what we need to arrange your trip, we may not be able to deliver the services you want.

4. Sharing Your Information

We share your personal information only when there is a genuine need to do so. We never sell, rent or trade your information to third parties for their own marketing.

Travel suppliers

When you book a trip, we share the details each supplier needs to fulfill their service — for example, name and passport details to an airline, dietary requirements to a hotel, medical information to a guide company operating in a remote area. We share only what each supplier requires.

Payment processors

Your payment card details are passed securely to our payment processor to complete transactions. We do not store full card numbers on our own systems.

Technology and marketing service providers

We work with companies that help us run our website, send emails, analyze site traffic and manage customer records. These providers access your information only to perform tasks on our behalf and are required to keep it confidential.

Government authorities and legal requirements

We may disclose your information to customs and immigration authorities, law enforcement agencies or other government bodies when required by law or when necessary to fulfill your booking. International travel inherently involves sharing traveler data with authorities in the countries visited.

Professional advisers

We may share information with lawyers, accountants, insurers and auditors when needed to run our business and protect our legal interests.

Business transfers

If we sell, merge or transfer all or part of our business, your information may be transferred to the new owner, who will be required to handle it in line with this policy.

International transfers

Because we book travel worldwide, some of your information will be shared with suppliers and authorities outside the United States. Data protection standards vary by country. Where we transfer information internationally for your booking, it is because doing so is necessary to fulfill the travel services you have requested.

5. Cookies and Website Tracking

Our website uses cookies and similar technologies. A cookie is a small text file placed on your device when you visit a site. Some cookies are essential for the site to function; others help us understand how visitors use our pages and allow us to show relevant content.

Types of cookies we use

  • Essential cookies — needed for the website to work. Without them, features such as contact forms and secure pages may not function correctly.
  • Analytics cookies — tools such as Google Analytics place these to help us count visits, see which pages are popular and understand how people move through the site. The data is aggregated and does not identify individual visitors.
  • Marketing and retargeting cookies — placed by advertising platforms to allow us to show relevant ads to people who have visited our site. You can opt out of these through your browser settings or via the links in our cookie banner.
  • Functional cookies — remember your preferences, such as whether you have accepted our cookie notice.

Managing cookies

You can control cookies through your browser settings. Most browsers let you block or delete cookies, or alert you when a site sets one. Blocking essential cookies may stop parts of the site from working correctly. For advertising cookies specifically, you can also opt out through industry tools such as the Network Advertising Initiative opt-out page at optout.networkadvertising.org.

We may update the specific cookies we use from time to time. Our cookie banner, shown when you first visit the site, explains what is in use at that point and lets you manage your choices.

6. How Long We Keep Your Information

We keep your personal information for as long as we need it for the purpose it was collected, and no longer.

  • Booking records — we keep records of confirmed trips for at least seven years. This covers our obligations for tax, accounting and any disputes that may arise.
  • Enquiry records — if you contact us about a trip but do not book, we keep your information for 24 months in case you return to plan further. After that, we delete it or anonymize it.
  • Marketing consent — we keep a record of your opt-in and, if you unsubscribe, your opt-out, for as long as is needed to show we have respected your preference.
  • Website data — analytics data is typically retained in line with the settings of the tools we use (commonly 14–26 months) before being deleted or anonymized.
  • Sensitive information — health, medical and dietary details shared for a specific trip are retained only as long as needed to deliver that trip and manage any follow-up.

When we no longer have a lawful reason to keep information, we delete it or, where deletion is not immediately practicable, anonymize it so it can no longer be linked to you.

If you make a complaint or a dispute arises, we may keep the relevant records beyond our standard period until the matter is fully resolved.

7. Your Rights and Choices

You have the following rights over the personal information we hold about you. To exercise any of them, contact us at the privacy address in Section 1. We will respond within 30 days and will not charge you for a straightforward request.

  • Access — you can ask us to tell you what personal information we hold about you and to provide you with a copy.
  • Correction — if any information we hold is inaccurate or out of date, you can ask us to correct it. Please also tell us promptly if your contact or travel document details change.
  • Deletion — you can ask us to delete your personal information when we no longer have a lawful reason to keep it. We may need to retain some records for legal or tax purposes, and we will let you know if that applies.
  • Restriction — you can ask us to stop using your information in certain ways — for example, while you dispute its accuracy — without asking us to delete it.
  • Objection — where we use your information on the basis of our legitimate interests, you can object if you have a reason related to your particular situation. We will stop unless we have compelling grounds that outweigh your interests.
  • Portability — where we process your information by automated means on the basis of your consent or a contract, you can ask us to provide it to you in a structured, machine-readable format.
  • Marketing opt-out — you can opt out of marketing emails at any time by clicking the unsubscribe link in any message we send, or by writing to us. Opting out of marketing has no effect on communications about an active booking.
  • Withdrawal of consent — where we rely on your consent to process information (for example, sensitive health data or marketing), you can withdraw that consent at any time. Withdrawal does not affect anything we did lawfully before you withdrew it.

If we cannot fulfill a request — for example, because a legal obligation requires us to keep the data — we will explain why.

8. Security, Children, Third-Party Sites and Governing Law

How we protect your information

We use industry-standard technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration and loss. These include encrypted connections (HTTPS), access controls that limit who in our team can view your data and secure payment processing through accredited providers.

No online system is completely immune to risk. If you believe your interaction with us has been compromised, please contact us immediately at privacy@eliteglobalconcierge.com.

In the event of a personal data breach that is likely to affect your rights, we will notify you and, where required, the relevant authorities without undue delay.

Children’s privacy

Our website and services are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13 without the consent of a parent or legal guardian. When a child is included in a family booking, we collect only the information needed to arrange that child’s travel, and we collect it from the adult making the booking.

If you believe we have inadvertently collected information about a child under 13 without proper consent, please contact us and we will delete it promptly.

Links to other websites

Our website may contain links to third-party websites, including travel suppliers, review platforms and social media. We are not responsible for the privacy practices of those sites. We encourage you to read their privacy policies before submitting any personal information to them.

Governing law

This policy is governed by the laws of the State of Florida. It is subject to the Florida Sellers of Travel Act (Chapter 559, Part XI, Florida Statutes), and nothing in this policy waives any right you hold under that Act or any other applicable law.
