About Elite Global Concierge
What does Elite Global Concierge do?
We plan private, made-to-order trips around the world. You tell us how you like to travel, and one Dedicated Travel Concierge handles everything from the first idea to your flight home: hotels, guides, drivers, flights, restaurant tables and the small details in between.
Why use a Dedicated Travel Concierge instead of booking myself?
Time, access and someone in your corner. We know which suite actually has the view, which guide makes a museum come alive, and when a road closes for the rainy season. Our partners often extend benefits we can pass on, such as upgrades on arrival, breakfast included or a late checkout. If something changes mid-trip, you make one call and we sort it out.
Are your trips group tours?
No. Every trip is private and built for you and the people you choose to travel with. You will not be placed on a fixed-date group departure.
Are the itineraries on your website fixed?
They are starting points. Keep what you like, change the rest, or ask us to start from a blank page.
Do you charge a planning fee?
We do not charge planning or consultation fees. This approach has guided us from the very beginning.
- Inspiration First: We believe the creative phase of designing a journey should be entirely without obligation. We want to demonstrate our capabilities and share our vision upfront so you can experience our standard of service freely.
- Preferred Partnerships: Through long-standing, direct relationships with properties and on-the-ground partners worldwide, we secure specially contracted rates. These rates are more favorable than standard public pricing, enabling us to build our compensation directly into the overall arrangement while remaining competitive.
Ultimately, you receive our full suite of expertise, bespoke planning, and global coordination for a total investment comparable to booking independently.
Is Elite Global Concierge a registered business?
Yes. Elite Global Concierge LLC is registered with the State of Florida as a Seller of Travel, Registration No. ST44740.
Planning Your Trip
How do I get started?
Send us an enquiry through the website, email or phone. We will set up a virtual meeting to learn how you like to travel, who is coming, your dates and a comfortable budget. Most important is for us to understand the purpose behind taking this trip. Your Travel Concierge then sends a first itinerary, and we refine it together until it feels right.
I don’t know where to go yet. Can you help?
That is one of the best parts of our job. Tell us when you can travel and what you want the trip to feel like, whether that is quiet, active, indulgent or full of culture, and we will suggest two or three places that fit.
How far ahead should I plan?
For most trips, four to six months gives the best choice of rooms and guides. For safaris in peak season, polar voyages, festivals, school holidays and the most sought-after hotels, nine to twelve months is safer. We also plan shorter-notice trips whenever availability allows.
Is there a minimum trip length or budget?
We plan trips of any length, from a long weekend to several weeks. Most of our clients travel for five nights or more, which gives us room to add real value. Share your budget early and we will be honest about what it can do in your chosen destination.
How is the price on your website worked out?
Prices shown are starting pricing guidelines per person, based on two adults sharing. Your final price depends on your dates, hotel and room choices, group size and the experiences you pick. Solo travelers usually pay more per person, because rooms, private guides and vehicles are priced per booking rather than per head.
Can you plan for families, multi-generational groups or friends?
Yes. We plan around every age in the party, from connecting rooms and child-friendly guides to slower days for grandparents. Tell us about nap times, dietary needs or a teenager who wants to surf, and we will build it in.
Do you plan honeymoons, proposals and celebrations?
This remains one of our specialties — bringing milestone occasions to life and making them once-in-a-lifetime memories for you and your loved ones. Let us know the occasion, and we will arrange the details you care about, from a private dinner to a room set up before you arrive.
Do you book flights?
We can book international and domestic flights, including private jets, helicopters and light aircraft. If you prefer to book your own flights or use airline miles, we will plan the trip around your schedule.
Booking and Payments
How do I confirm my trip?
Once you are happy with your itinerary, let us know in writing and pay the deposit on your invoice. We then secure every hotel, guide and service and send you a written Confirmation. Your booking is not final until that Confirmation reaches you.
How much is the deposit, and when is the balance due?
In most cases the deposit is 40% of the trip price, and the balance is due between 65 to 90 days before departure. If you book inside that window, the full amount is due at booking. Some trips have different terms, such as peak-season safaris, private villas, yacht charters and airline tickets, which may need a larger deposit or full payment up front. Your invoice will always show the exact amounts and dates.
How can I pay?
By wire transfer, ACH bank transfer or major credit card. Payments with a credit card issued in the USA carry a 3% processing surcharge, which appears on your invoice before you pay. Bank and international transfer fees are paid by the sender.
What is included in my trip price?
Everything listed on your Confirmation. That usually covers accommodation, private transfers, guides, the experiences you selected and any internal flights we book. International flights, visas, travel insurance, tips, most meals, drinks and personal spending are extra unless your Confirmation says otherwise.
Are there any costs to pay locally?
Sometimes. Some cities and countries charge tourist or resort taxes that must be paid at check-out, and some borders charge visa or park fees on arrival. We will tell you about the ones we know of before you travel. Tipping is up to you, and we are happy to suggest amounts.
Can the price change after I book?
Only in limited cases, such as new government taxes, airline fuel surcharges or currency movements on supplier bills. We never apply these within 30 days of departure. If an increase adds more than 10% to your total, you can cancel within 7 days of our notice for a refund, as set out in our Booking Terms and Conditions.
Changes and Cancellations
Can I change my trip after booking?
Usually, yes. Write to your Dedicated Travel Concierge and we will check availability with each supplier. We do not add our own fee for changes, but any charges a hotel, airline or other supplier passes on to us are added to your invoice before we make the change.
What happens if I need to cancel?
Send us your cancellation in writing. It takes effect on the day we receive it. Deposits are non-refundable, and further charges depend on how close to departure you cancel and on each supplier’s own terms. Your Dedicated Travel Concierge can tell you what a cancellation would cost at any point, before you decide.
Which parts of my trip are non-refundable?
We mark every non-refundable item on your proposal and invoice before you pay anything. Airline tickets, rail passes, permits, event tickets and some safari camps, villas and cruises often fall into this group.
How long does a refund take?
Where a refund is due, we return it to the original payment method within 30 days of receiving your written cancellation.
What if you or a supplier have to change my trip?
Small changes, such as a new flight time or a different guide, can happen. If we need to make a significant change before you travel, you can accept it, choose an alternative of similar standard, or cancel for a full refund of what you have paid us.
What if something outside anyone’s control affects my trip?
Events such as severe weather, strikes, natural disasters or government travel restrictions can disrupt plans. We will work to recover as much as possible from suppliers and pass on every refund or credit we receive. Travel insurance is the best protection for costs we cannot recover.
Before You Go
Do you arrange visas?
We tell you which visas and entry permits your itinerary needs and how long they usually take. In most countries the application must come from you. Where a visa service can help, we will point you to one. Entry rules change often, so please check them again close to departure.
How long must my passport be valid?
Many countries ask for at least six months’ validity after your return date and a few blank pages. Check this as soon as you start planning, because renewals can take weeks.
Do I need travel insurance?
We strongly recommend it for every traveler, bought at the time of booking. Look for cover that includes cancellation, emergency medical care, medical evacuation and repatriation, baggage, and any activities you plan to do. Your Dedicated Travel Concierge can suggest providers, but the policy and any claim are between you and the insurer. See our Travel Protection & Insurance guidance for more.
Do I need vaccinations?
It depends on where you are going and where you have been. See your doctor or a travel clinic at least eight weeks before departure. Our Health & Safety Information page lists useful resources.
Can you handle dietary needs, allergies or mobility requirements?
Yes. Tell us during planning and we will brief every hotel, restaurant and guide before you arrive. For mobility needs, we check rooms, vehicles and sites in advance, as accessibility standards vary widely between countries. Please be as specific as you can, especially about severe allergies.
When will I receive my travel documents?
About 10 days before departure, once your balance has been paid. You will get your full itinerary, vouchers and local contact numbers. Please read them through and tell us straight away if anything looks wrong.
Can you arrange something special during the trip?
Most likely. Birthdays, anniversaries, a surprise dinner, a private viewing or a gift in the room are all possible. Tell us early, and we will confirm what can be arranged.
While You Travel and After
Who do I contact during my trip?
Your representatives on the ground and our Guardian Angel team are available around the clock. Their numbers are in your travel documents. Whether it is a missed connection, a room that isn’t right or a sudden change of plan, one call is all it takes.
Will someone meet me when I arrive?
Where your itinerary includes an arrival transfer, a driver or representative will meet you and take you to your hotel. All private transfers in your itinerary are arranged in advance, so you never need to find your own taxi.
Will I have the same guide the whole way?
Usually you will meet a different local specialist in each region, city or park, since they know their own patch best. If you would rather keep one guide throughout, ask us and we will arrange it where possible.
What if something is not right during my trip?
Tell your representative on the ground or the Guardian Angel team straight away. Most problems can be fixed on the spot, but only if we know about them while you are there.
How do I share feedback or raise a complaint after I get home?
We want to hear how it went. If anything is still unresolved, write to us within 10 days of your return with your booking reference. We will acknowledge it within 5 business days and send a full reply within 30 days.
